A tour operator was faced with the challenge of managing their online bookings. There was an online form that customers could use to book a tour, but it was time-consuming to have all the information manually in one Google Sheet to edit. They also had to communicate separately with customers and tour guides, which led to misunderstandings and confusion. The company needed a solution that could automate the booking process, manage all tour information, and streamline communication.

Challenge in the travel booking process  

The biggest challenge was managing travel bookings efficiently and accurately. The tour operator received many booking requests via his online form, which he sent via a Google Sheet managed. The manual processing of the tour information in the sheet was time-consuming and prone to errors, which led to errors in bookings. In addition, the separate communication with customers and tour guides was confusing and led to misunderstandings, which in turn affected customer satisfaction.

Solution with HubSpot and Google Sheets to simplify travel booking  

The travel company used HubSpot and Google Sheetsto streamline the online tour booking process. As soon as a customer completed the web form, a new deal was created in HubSpot that included all required tour information, including additional fees and total price. In the same process, the customer also received confirmation that the company had received the request. If the customer accepted the request via a button in this email, it was sent to all possible tour guides. As soon as the first tour guide accepted the tour, the customer received an official offer. And as soon as the customer had confirmed the tour, in sevDesk created and sent an invoice to the customer, which included all additional costs as separate items. The tour was also entered as an appointment in a Google calendar, which makes it easier to manage the schedule.

To avoid errors in the booking process, the travel company created a Google sheet with all possible tours and the necessary information for each tour. The sheet included information such as the number of people taking part, available tour times, special admission prices and additional fees for guided tours in another language. This information was used in HubSpot to create an offer. This ensured that all required information about the tour was accurate and up to date.

Outcome: Improved efficiency and customer satisfaction with HubSpot and Google  

By streamlining the online travel booking process, the travel company was able to improve its efficiency and customer satisfaction. Automating the booking process reduced the time and effort required to process bookings, while accurate information reduced the risk of errors. The integration with sevDesk and Google Calendar further improved the workflow and made booking management easier. The tour operator optimized its online travel booking process and offered its customers a better experience, which ultimately led to higher customer satisfaction.
